How to Implement Preventive Preservation for Digital Documents in Libraries?

According to the provisions of Article 8 Circular 02/2020/TT-BVHTTDL, the implementation of preventive preservation for digital documents in libraries is as follows:

- Implement measures for security, digital information safety, periodic data backup; ensure input data standards;- Preserve and regularly check the operation of data storage devices;- Implement measures to prevent and combat malware, ensuring information security for the library;- Develop contingency plans for cyber-attacks and take measures to recover data in case of data loss.

In addition, this Circular stipulates the implementation of preventive preservation for audiovisual materials, microforms, special documents for people with disabilities, and other formats as follows:

- Implement environmental control measures, temperature, humidity; provide protective casing for magnetic tapes, optical discs;- Digitize audiovisual information resources to ensure format quality, storage environment, compliant with technology standards to mitigate technological obsolescence;- Store photographic, microfilm, microfiche information resources in containers under climate-controlled conditions; regularly inspect and measure signs of degradation and damage to promptly prevent cross-contamination to other documents;- Ensure a stable preservation environment in terms of temperature, humidity, ventilation, prevent destructive agents; be suitable for the characteristics of each type of information resource including: bamboo cards, do paper, turtle shells, woodblocks, or other forms.
