Preserving Paper Archives in the Field of Natural Resources and Environment

Based on Article 34 regarding technical standards and economic-technical norms for the task of receipt, storage, preservation, and provision of information and data on natural resources and environment in Circular 03/2022/TT-BTNMT (effective from April 15, 2022), the preservation of paper archives in the field of natural resources and environment is regulated as follows:

  1. Implementation Steps

a) Preservation of paper archives:

- Clean the inside of the box (folder) used for document preservation;

- Clean the cover of files and documents;

- Place documents into the file cover, arrange files into the document preservation box (folder);

- Arrange the document preservation box (folder) on the shelf, compartment in its original position;

- Check the document preservation work;

b) Record in the Archive Preservation Log.

Repairing and Restoring Paper Archives in the Field of Natural Resources and Environment

Based on Article 36, this regulation on repairing and restoring paper archives in the field of natural resources and environment is specified as follows:

  1. Implementation Steps

a) Prepare a list of documents needing repair and restoration; hand over and transport documents to the place of implementation; clean the documents;

b) Repair and restore using patching and gluing methods;

c) Repair and restore using reinforcement methods;

d) Inspect and evaluate quality;

e) Hand over, place documents on shelves, compartments in their original position;

f) Prepare a report on the results of document repair and restoration.

  1. Products

a) Document Handover Record upon warehouse exit (Form BM.01);

b) Document Quality Inspection Record for repairs (Form BM.16);

c) Document Handover Record upon warehouse entry (Form BM.01);

d) Report on the results of document repair and restoration (Form BM.14).
