How is the Hygiene of Document Storage Warehouses Regulated?

On October 23, 2013, the Ministry of Natural Resources and Environment issued Circular 31/2013/TT-BTNMT stipulating the process of land document archiving operations.

How is the hygiene of document storage warehouses regulated? (Illustrative image)

Circular 31/2013/TT-BTNMT specifically regulates the hygiene process of land document storage warehouses as follows:

1. Hygiene of document storage warehouses

The cleaning frequency for document storage warehouses is once every 6 months for specialized warehouses; once every 4 months for ordinary warehouses; and once every 3 months for temporary warehouses.

2. Hygiene of windows, shutters, and doors

- Cleaning windows includes: Cleaning and wiping the grooves and sills of window frames; Cleaning the wall space between the glass and the mesh.- Cleaning shutters includes: Cleaning and wiping the shutter frame (inside and outside);- Cleaning doors includes: Dusting the door leaves and frames; Wiping the door leaves and frames clean.

3. Cleaning and inspecting equipment and ensuring the storage environment in the warehouse

Using, monitoring, disconnecting the power source, and cleaning warehouse equipment, including: air conditioners; dehumidifiers; ventilation fans; humidity and temperature measuring devices; security devices; fire alarms.

Ensuring warehouse safety includes:

- Using safety measures to prevent theft, fire, explosions, leakage, and water seepage;- Preventing and exterminating insects, mold removal.

4. Cleaning shelves and the outside of document storage boxes and folders

- Cleaning the temporary storage area for document boxes and folders;- Sequentially moving document storage boxes and folders from one shelf to the temporary storage area;- Thoroughly cleaning the shelves from top to bottom and both end sides, grooves, undersides, and the back of the shelves with a cloth;- Cleaning the outside of the boxes and folders with a vacuum cleaner or dusting brush;- Relocating and arranging the document storage boxes and folders on the shelves in their original order.

5. Cleaning the warehouse floor

- Sweeping the warehouse floor;- Vacuuming the warehouse floor and the corners, wall grooves, baseboards;- Mopping the warehouse floor.
