The responsibility for handing over dossiers and documents to the agency's archive in Vietnam is regulated as follows:
Agencies and units responsible for managing dossiers and documents in Vietnam must hand over them to the agency's archive as follows:
Collect all components of the dossiers and documents; coordinate with the agency's archive on the list of handed dossiers and documents.
Arrange dossiers and documents to ensure the components, format, and conformity according to standards. Prepare 03 copies of the list of handed dossiers and documents using the form prescribed in Appendix I issued with this Circular.
Hand over: dossiers, documents; 02 copies of the list of handed dossiers and documents and other retrieval tools (if any). As for as-built dossiers, additional rectification guidance documents and 01 color scan copy organized and rectified must also be submitted.
For as-built dossiers: hand over once for the entire construction investment project if the work (work items) under the project is put into operation at the same time. In case the work (work items) of the project is put into operation at different times, separate dossiers and documents can be handed over for each work (work item).
Transport documents to the handing location.
Comply with formal procedures for handing over dossiers and documents.
