How are Changes, Corrections, and Additions to Civil Status Information, and the Re-Identification of Ethnicity Carried Out?

The amendment, correction, supplementation of civil status information, and re-determination of ethnicity are carried out according to the provisions in Part II of Decision 1872/QD-BTP in 2020. To be specific:

Procedure

- The person requesting amendment, correction, supplementation of civil status information, or re-determination of ethnicity submits the application to the competent district People's Committee.

- The receiver is responsible for checking the entire application, comparing the information in the Declaration Form and the validity of the documents submitted or presented by the applicant.

- If the application is complete and valid, the receiver issues a receipt, clearly stating the date and time for result collection; if the application is not complete, the applicant is instructed to supplement and complete it according to the regulations; in cases where it is not possible to supplement and complete the application immediately, a written guidance must be provided, clearly stating the types of documents and contents to be supplemented and completed, signed with the full name and title of the receiver.

- If the amendment, correction, supplementation of civil status information, or re-determination of ethnicity is deemed to have a basis and is in accordance with the civil law and relevant lawful provisions, the Department of Justice reports to the Chairman of the district People's Committee. If the Chairman of the district People's Committee agrees, they will sign the Extract for amendment/correction/supplementation of civil status information/re-determination of ethnicity and issue it to the applicant; the registrar official records it in the Register of amendment, correction, supplementation of civil status information, re-determination of ethnicity; guides the applicant to check the contents of the Extract and the Register, and the registrar official and the applicant sign the Register.

Implementation Method:

- The person requesting the registration of amendment, correction, supplementation of civil status information, or re-determination of ethnicity may directly perform or authorize another person to perform;

- The registrant of amendment, correction, supplementation of civil status information, or re-determination of ethnicity can directly submit the application at the competent district People's Committee or send the application via the postal system or through the online civil status registration system.
