What are the forms of exploitation and use of documents archived at the Archives of the Ministry of Natural Resources and Environment of Vietnam?

Pursuant to Article 2 of the Regulation on exploitation of records and documents archived at the Archives of the Ministry of Natural Resources and Environment promulgated together with Decision 2356/QD-BTNMT in 2022 stipulating forms of exploitation and use of documents as follows:

1. Using documents at the Agency Archives or on electronic archival software.

2. Introduction of archival materials on mass media and electronic information pages.

3. Forms of exploitation using online archives.

a) Readers who want to exploit and use remotely archived documents must send a registration form to use remote documents (according to Appendix 03) by email (vtvpbo@monre.gov.vn), post office (address: Office of the Ministry of Natural Resources and Environment, No. 10 Ton That Thuyet, My Dinh 2 Ward, Nam Tu Liem District, Hanoi City).

b) Within 01 day after receiving the request for exploitation and use of documents, the archivist shall notify the search results and the time limit for returning the results and directly submit them to the competent person for approval.

1. Not cause damage to the State's interests.

2. Ensure the preservation of national secrets.

3. Ensure document safety.

4. Meet the legitimate needs of agencies, organizations and individuals who come to exploit and use archival materials.

What are regulations on the time for exploitation and use of archives at the Archives of the Ministry of Natural Resources and Environment of Vietnam?

Pursuant to Article 4 of the Regulation on exploitation of records and documents archived at the Archives of the Ministry of Natural Resources and Environment promulgated together with Decision 2356/QD-BTNMT in 2022 stipulating the time for exploitation and use of archives as follows:

From Monday to Friday every week (except for other ad-hoc tasks assigned by the leader).

- Morning from 8:00 am to 11:30 am

- Afternoon from 13:30 to 17:00.

What are prohibited acts in exploiting and using archival materials at the Archives of the Ministry of Natural Resources and Environment of Vietnam?

Pursuant to Article 5 of the Regulation on exploitation of records and documents archived at the Archives of the Ministry of Natural Resources and Environment promulgated together with Decision 2356/QD-BTNMT in 2022 stipulating prohibited acts in exploiting and using archival materials as follows:

1) Cause insecurity and disorder.

2) Carry explosives, combustibles, toxic and dangerous substances and sparking devices.

3) Smoke cigarettes.

4) Allow people who are not eligible to enter the Agency Archives.

What are procedures for exploitation and use of ordinary documents stored at the Archives of the Ministry of Natural Resources and Environment of Vietnam?

Pursuant to Article 6 of the Regulation on exploitation of records and documents archived at the Archives of the Ministry of Natural Resources and Environment promulgated together with Decision 2356/QD-BTNMT in 2022 stipulating procedures for exploitation and use of ordinary documents as follows:

Readers who come to exploit and use documents at the Archives need to provide the following documents:

1. Readers who come to exploit and use documents for official purposes must have a written request or a letter of introduction from the agency or organization where they work or a power of attorney certified by a competent authority.

2. In case of exploitation and use of documents for personal purposes, a citizen's identity card or passport (in case of being a foreigner) must be presented.

3. Readers of thematic research must have an official letter from the governing body (which clearly states the purpose, requirements, outline, and time of the research).
