Modification of Documentation in Archival Work of the Ministry of Home Affairs
Based on Article 33 of the Regulation on clerical work and archival work of the Ministry of Home Affairs, issued together with Decision 1032/QD-BNV in 2020, the document management regulations are as follows:
The Ministry’s records and documents must be fully organized and preserved in the archival storage or the agency’s archival system.
- Principles of Document Organization
a) Do not disperse archival collections;
b) When classifying and creating files (completing, restoring, or creating new files), respect the formation of documents according to the work monitoring and resolution sequence (do not disrupt already established files);
c) Documents after organization must reflect the Ministry's activities.
- Documents after the organization must meet the following requirements:
a) Complete classification and file creation;
b) Determine the retention period for records and documents;
c) Systematize records and documents;
d) Create search tools: file directories, databases, and other search tools to facilitate the management and use of documents;
dd) Create a list of expired documents.
