Incorrect Information About Social Insurance Contribution Period in the Social Insurance Book: What to Do? How is the Social Insurance Contribution Dossier Checked?

I worked for one year at Bac Ninh Company. After that, I resigned to take care of my family. At the end of last year, I discovered that there were errors in my Social Insurance book regarding the contribution period. I am currently working at a company in Da Nang. I would like to ask how to correct the information about the social insurance contribution period in the Social Insurance book. I look forward to receiving a response!

How to Handle Incorrect Information Regarding Social Insurance Contribution Period on the Social Insurance Book?

Based on Clause 2, Article 27 of the Process for the Collection of Social Insurance, Health Insurance, Unemployment Insurance, Labor Accident Insurance, Occupational Disease Insurance; management of social insurance books and health insurance cards, issued in conjunction with Decision 595/QD-BHXH in 2017 regarding reissuance, exchange, and adjustment of information on the Social Insurance Book and Health Insurance Card, it is stipulated as follows:

  1. Reissuance of Social Insurance Book due to change of name, middle name; date of birth; gender; ethnicity; nationality; adjustment of information recorded on the Social Insurance Book.

2.1. Dossier components

a) Participants:

- Declaration to participate and adjust information on Social Insurance, Health Insurance (Form TK1-TS).

- Supporting documents (Sections 3, 4 of Appendix 01).

b) Unit: Information declaration form (Form D01-TS).

2.2. Number of dossiers: 01 set.

Currently, you can correct errors in the information regarding the social insurance contribution period by adjusting the information recorded on the Social Insurance Book and having the Social Insurance Book reissued according to the above regulations.

Checking Social Insurance Contribution Dossier

Based on Article 39 of the aforementioned Process regarding checking the social insurance contribution dossier, it is stipulated as follows:

Annually, the specialized staff responsible for collection, issuance of books - cards, create plans and organize inspections of Social Insurance, Health Insurance, Unemployment Insurance, Labor Accident Insurance, Occupational Disease Insurance contribution dossiers; issuance of Social Insurance Books, Health Insurance cards at labor-using units to cover at least 50% of the units in the area, specifically:

  1. Inspect and compare the unit's managed dossier with the declared content when participating in Social Insurance, Health Insurance, Unemployment Insurance, Labor Accident Insurance, Occupational Disease Insurance; issuance of Social Insurance Books, Health Insurance cards; adjustment of information on Social Insurance Books, Health Insurance cards, personal identification, occupation, heavy labor, hazardous, dangerous, or especially heavy, hazardous, dangerous work to recover Social Insurance, Health Insurance, Unemployment Insurance, Labor Accident Insurance, Occupational Disease Insurance contributions such as: Declaration to participate and adjust information on Social Insurance, Health Insurance (Form TK01-TS), Decision/Labor Contract/Employment Contract, Salary and wage payment sheet, Attendance sheet, documents for transferring social insurance, health insurance, unemployment insurance, labor accident insurance, occupational disease insurance contributions...

  2. Prepare inspection records according to regulations and guide the unit to rectify any mistakes (if any) accordingly.

  3. In case signs or intentional violations by the unit are detected such as evasion of Social Insurance, Health Insurance, Unemployment Insurance, Labor Accident Insurance, Occupational Disease Insurance contributions; incorrect salary-based contributions of employees, collecting money from employees but not contributing, not contributing promptly, inadequate contributions; misrepresentation, forgery of dossier, report and propose to the Department leadership to organize specialized inspection and handle according to the provisions of the law.
