What are the instructions on recording overtime payment sheets in Vietnam?

Sheet of overtime payment to determine the salary and overtime wages that employees are entitled to after working overtime according to job requirements.

The following is how to record the payment of overtime wages according to Circular 200:

The upper left corner of the Overtime Payment sheet must clearly state the name of the unit or department working.

Line date: Specify the month and year in which the employee worked overtime.

Columns A, B: Enter the ordinal number, first and last name of the person working overtime.

Column 1: Enter the salary coefficient the employee is enjoying.

Column 2: Enter the coefficient of position allowance the employee is enjoying.

Column 3: Enter the total number of employee benefits (Column 3 = column 1 + column 2).

Column 4: Enter the monthly salary that is calculated as: Minimum salary (According to state regulations) multiplied by (x) Salary coefficient plus (+) Position allowance.

Column 5: Enter the daily salary calculated as Minimum Wage (according to State regulations) x (wage coefficient + position allowance coefficient)/ 22 days.

Column 6: Enter the hourly rate calculated by Column 5 divided by 8 hours.

Columns of overtime hours on weekdays, overtime hours on Saturdays, Sundays, and overtime hours on public holidays (Columns 7, 9, 11) are recorded based on the actual overtime timesheet of that month.

Column of overtime pay for weekdays (column 8) = number of hours (column 7) x hourly rate (column 6) x Coefficient of overtime according to current regulations.

Column of overtime pay on Saturday, Sunday (column 10) = number of hours (column 9) x hourly rate (column 6) x Coefficient of overtime according to current regulations.

Column of overtime pay for holidays and Tet (column 12) = number of hours (column 11) x hourly rate (column 6) x Coefficient of overtime according to current regulations.

Overtime column (column 14) = number of hours (column 13) times (x) hourly rate (column 6) x Coefficient of overtime according to current regulations.

Column 15: Enter total amount Column 15 = column 8 + column 10 + column 12 + column 14.

Column 16: Enter the number of compensatory hours of overtime work and the corresponding amount of the compensatory rest days that must be deducted without payment.

Column 17 = column 16 x column 6 x Overtime coefficient according to current regulations.

Column 18: Enter the amount of overtime actually paid to the part-timer.

Column 18 = column 15 - column 17.

Column C - Signing for receipt: The part-timer after receiving the money must sign this column.

The overtime payment sheet must be enclosed with the overtime time sheet of that month, fully signed by the scheduler, chief accountant, director or authorized person for approval. The overtime payment sheet is made in 1 copy as a basis for payment.

What is the minimum overtime pay in Vietnam?

Pursuant to Article 98 of the Labor Code 2019 stipulates:

Overtime pay, night work pay
1. An employee who works overtime will be paid an amount based on the piece rate or actual salary as follows:
a) On normal days: at least 150%;
b) On weekly days off: at least 200%;
c) During public holidays, paid leave, at least 300%, not including the daily salary during the public holidays or paid leave for employees receiving daily salaries.
2. An employee who works at night will be paid an additional amount of at least 30% of the normal salary.
3. An employee who works overtime at night will be paid, in addition to the salary specified in Clause 1 and Clause 2 of this Article, an amount of at least 20% of the day work salary of a normal day, weekend or public holiday.
4. The Government shall elaborate this Article.

Accordingly, an employee who works overtime will be paid an amount based on the piece rate or actual salary as follows:

+ On normal days: at least 150%;

+ On weekly days off: at least 200%;

+ During public holidays, paid leave, at least 300%, not including the daily salary during the public holidays or paid leave for employees receiving daily salaries.

- An employee who works at night will be paid an additional amount of at least 30% of the normal salary.
