What are the guidelines for retention of academic results by students in Vietnam?
Based on Article 15 of the Regulations on Undergraduate Education attached to Circular 08/2021/TT-BGDDT, students wishing to retain their academic results should follow these steps:
Step 1: Determine the conditions for retention.
Students have their academic results retained in the following cases:
+ The student is conscripted;
+The student is selected to represent Vietnam in an international competition by the competent authority;
+ The student is ill, is pregnant or has an accident that requires long-term treatment, which is verified by the competent healthcare facility according to regulations of the Ministry of Health;
+ The student takes leave for a personal reason but has attended at least 01 semester in the training institution and is not considered for forced leave from school or discipline.
Step 2: Prepare the retention application
Depending on the school's regulations, the retention application may include:
- Application form for retention of academic results: Students should write an application using the school's form or self-drafting form with all necessary information (see the reference form above).
- Documents proving the reason for retention:
+ For health reasons: Certification from a health facility authorized under the Ministry of Health's regulations.
+ For other reasons: Relevant documents, such as deployment decisions or documents proving personal reasons.
- Academic transcript or certification of academic results from the Training Department to prove achieved academic results.
Step 3: Submit the application
Students submit their application to the Training Department or related department as per the school's regulations.
After receiving the application, the school will review the conditions and reasons for retention and notify the results.

Currently, there is no common application form for retention across all universities. Most universities have their own forms; students should contact the Training Department or visit the school's website to obtain the template. Regarding the official study duration for students, under Clause 5, Article 2 of the Regulations on Undergraduate Education attached to Circular 08/2021/TT-BGDDT :

5. Maximum time limit for students to complete a course shall be stipulated in the training institution regulation but shall not be longer than twice the study duration according to the standard learning plan for the whole course for each mode of study. For students who take bridge programs and whose accumulated credits have been accounted for, maximum time limit for them to complete a course shall be determined by deducting the amount of study duration corresponding to the completed academic load from the study duration according to the standard learning plan of the whole course.

2. Duration of temporary leave for personal reason shall be counted towards the full-time study duration provided for in Clause 5 Article 2 of this Regulation.
Under the above provisions, the maximum time limit for students to complete a course shall be stipulated in the training institution regulation but shall not be longer than twice the study duration according to the standard learning plan for the whole course for each mode of study.
For example: If the standard course duration is 4 years, a student may study for a maximum of 8 years (including the temporary leave period).
For credit exemption students: The maximum time is calculated based on the standard course duration reduced by the exempted credits.
According to Clause 2, Article 15 of the Regulations on Undergraduate Education attached to Circular 08/2021/TT-BGDDT, the temporary leave period for personal reasons is counted towards the maximum study duration.
I.e. if a student temporarily suspends studies for 1 year, this time will be deducted from the maximum allowable study duration.
Thus, when temporarily suspending studies and retaining academic results, students should note:
- The temporary leave must be approved by the training institution and does not exceed the maximum study duration.
- Universities may further specify the number and duration of retention periods based on their specific regulations.
