Abbreviations and Number Writing on Invoices According to Legal Regulations

Below are the latest regulations on abbreviations and numbering on invoices that our esteemed members need to understand and apply correctly in accordance with the law.

1. Regarding Numerics on Invoices

- Based on Point k Clause 1 Article 4 of Circular 39/2014/TT-BTC, amended at Clause 1 Article 3 of Circular 26/2015/TT-BTC, the numerals written on the invoice must be natural numbers: 0, 1, 2, 3, 4, 5, 6, 7, 8, 9. The seller can choose to write consistently in one of the following two ways:

+ After the thousand, million, billion, thousand billion, million billion, billion billion digits, a period (.) must be placed, if digits are written after the unit digit, a comma (,) must be placed after the unit digit; or

+ Use a comma (,) as the natural number separator after the thousand, million, billion, thousand billion, million billion, billion billion digits, and use a period (.) after the unit digit on accounting documents.

- The total payment line on the invoice must be written in words. In case the words on the invoice are in Vietnamese without diacritics, the letters without diacritics on the invoice must ensure there is no misunderstanding of the invoice content.

- The invoice must be presented in Vietnamese. In case foreign words need to be added, the foreign words are placed on the right in parentheses ( ) or immediately below the Vietnamese line and must be smaller in size than the Vietnamese words.

2. Regarding Abbreviations on Invoices

According to the regulations at Point b Clause 2 Article 16 of Circular 39/2014/TT-BTC, amended and supplemented by Point b Clause 7 Article 3 of Circular 26/2015/TT-BTC, the abbreviation on invoices is performed as follows:

In case the buyer's name or address is too long, the seller can abbreviate some common nouns on the invoice such as: "Phuong" to "P"; "Quan" to "Q", "Thanh pho" to "TP", "Viet Nam" to "VN" or "Co phan" to "CP", "Responsibility Limited" to "TNHH", "industrial zone" to "KCN", "production" to "SX", "Branch" to "CN" … but must ensure full house number, street name, ward, commune, district, town, city, and can accurately determine the name, address of the enterprise and in accordance with the business registration, taxpayer registration of the enterprise.
