Recently, the Ministry of Foreign Affairs of Vietnam issued Circular 02/2011/TT-BNG guiding the procedures for registration of Vietnamese citizens abroad.
What are regulations on updating and storing Citizen Registration Information in Vietnam? (Illustrative photo)
According to Circular 02/2011/TT-BNG, the responsibilities for updating and retaining citizen registration information in Vietnam are stipulated as follows:
- Registered citizens are responsible for notifying the Representative Office within 90 days from the date of any changes in the personal details declared in the Citizen Registration Form so that the Representative Office can update the Citizen Register.
- The applicant requesting to update citizen registration information must submit one set of documents including:
- One completed Citizen Registration Form, which can be filled out online on the Representative Office's website;
- One pre-stamped envelope with the recipient's address, in case the applicant wishes to receive the result by mail.
- The application for updating citizen registration information can be submitted directly to the Representative Office or sent by mail.
- The Representative Office will process and notify the applicant of the result in writing within one working day from the date of receiving the complete and valid application.
- Citizen registration documents include the Citizen Registration Form (including all updates to citizen registration information), copies of documents and materials submitted by the applicant to the Representative Office, verification documents, and other related documents and materials.
- Citizen registration documents are numbered in chronological order corresponding to the entries in the Citizen Register. The Citizen Register is created in the form of a printed book and retained using computer management software.
- The Representative Office is responsible for implementing measures to preserve the citizen registration documents and retain them for the following periods:
- 5 years for citizen registration documents;
- Permanent retention for the Citizen Register.
More details can be found in Circular 02/2011/TT-BNG, which comes into effect in Vietnam from August 11, 2011.
