Deadline for submitting records and documents to the agency's archives according to Circular 74/2014/TT-BGTVT

The Ministry of Transport of Vietnam issued Circular 74/2014/TT-BGTVT on the promulgation of the regulations on archival work of the Ministry of Transport, which stipulates the deadlines for submitting dossiers and documents to the agency's archives.

According to Article 11 of Circular 74/2014/TT-BGTVT (amended by Clause 8, Article 1 of Circular 61/2018/TT-BGTVT):

  1. Records and documents of agencies and units are archived as follows:

- For records and documents determined to have a preservation period of less than 05 years: self-preservation at the agency or unit.

- For records and documents determined to have a preservation period of 05 years or more: must be submitted to the agency's Archives within 01 year from the date the work is completed.

  1. For completion records of Projects and works as stipulated in Article 12 of this Circular: Within 03 months from the date the work is settled, the records must be submitted to the Ministry's Archives. The detailed list of components of completion records is stipulated in Appendix VI issued with this Circular.

  2. Documents stored at the agency's Archives include: Official Dispatch, Decisions, must be submitted to the agency's Archives every 03 months, confidential documents submitted once a month, and other types of documents submitted once a year.

  3. In case records and documents are due for submission but need to be retained: The head of the agency or unit decides on the retention and provides a written notice stating the reasons and a detailed list of records and documents to be retained to the agency's Archives. The retention period shall not exceed 02 years from the due date for submission.
