3 principles of storage and preservation of geological and mineral data

The contents of this are detailed in Circular 12/2013/TT-BTNMT providing regulations on handing over, receiving, retaining, preserving, and providing data on geology and minerals.

According to the provisions of Article 7 of Circular 12/2013/TT-BTNMT, the storage and preservation of geological and mineral data must comply with the following three principles:

- The Geological Archives Information Center is responsible for storing and preserving geological and mineral data according to the provisions of the law on archives; preserving data on resources and the environment and the regulations, standards, and technical specifications in the field of geology and minerals.- The archive storage must be equipped with all necessary equipment and means as prescribed by the Ministry of Home Affairs regarding specialized archive storage.- The storage and preservation must meet the requirements: complete, intact, safe, easily retrievable for use.

Also according to Circular 12, the Geological Archives Information Center is responsible for inventorying, determining the value of stored and preserved data; Reviewing and making a list of data that needs to be refurbished and restored, submitting it to the competent authorities for approval, and carrying out the refurbishment and restoration of data as prescribed. The Director General of the General Department of Geology and Minerals of Vietnam decides on the plan to restore data damaged during storage.

Note, the data retention period is established for each type of data according to current regulations: permanent storage data, fixed-term storage data. The Geological Archives Information Center is responsible for inventorying types of data that have expired their usage value and submitting to the competent authorities for approval the disposal of documents.
