How to register for classes at the university for the new academic year in Vietnam?

Based on Article 7 of the University Education Training Regulations issued together with Circular 08/2021/TT-BGDDT:

- Before the start of each semester, the educational institution provides guidance for students to register for classes on the institution's registration system.

- Credit-based students must register for classes of the intended courses for the semester, including: new courses, some courses not passed (to retake), and some courses passed (to improve grades, if any) based on the list of courses offered and registration conditions of each course.

- Year-based students register to retake courses not passed intended to be taken in the semester, register to improve grades, or register for elective courses according to the training program's regulations.

- The educational institution’s regulations stipulate the procedures, management, and storage of students’ course registration each semester, the withdrawal process of registered courses; specifically stipulate the limit on students’ study load per semester within the following framework:

+ The minimum load is not less than 2/3 of the average load for one semester according to the standard study plan;

+ The maximum load does not exceed 3/2 of the average load for one semester according to the standard study plan.

9. From August 28, 2024, to December 2024, candidates needing additional admission rounds from the Educational Institution, comply with the Admission Plan posted on the admission information website of the Educational Institution (if the Educational Institution conducts additional admissions). Candidates who have been admitted and confirmed their enrollment are not allowed to apply for additional admission, except in cases where the head of the Educational Institution permits not to enroll.

According to the above regulation, from August 28, 2024, to December 2024, candidates needing additional admissions from the university, follow the admission plan posted on the university's admission information website (if the university conducts additional admissions).

It can be seen that there are 5 days left until the additional university admission round opens. However, it is necessary to monitor the university’s information page for the most accurate details about additional admissions.

How to record student records in 2024 in Vietnam?

Currently, the law does not have specific regulations about the student profile; this is the required profile when enrolling in university. However, based on Article 21 of the regulations issued together with Circular 08/2022/TT-BGDDT, the regulations on university enrollment confirmation for the academic year 2024-2025 are as follows:

Notification of Results and Enrollment Confirmation

1. The educational institution sends admission notices to successful candidates, clearly stating the necessary procedures for candidates upon enrollment and the method of enrollment.

2. Candidates confirm their enrollment online on the system before physically enrolling at the educational institution.

3. For candidates who do not confirm their enrollment within the prescribed time:

a) Without a valid reason, it is considered that the candidate declines enrollment, and the educational institution reserves the right not to accept the candidate;

b) Due to illness, accident, with confirmation from a district-level hospital or higher, or due to natural disasters with confirmation from the district-level People's Committee or higher, the educational institution will consider and decide on admitting the candidate or deferring the admission result for the candidate to enroll later;

c) Due to errors or mistakes by the admission personnel or the candidate, the educational institution shall cooperate with relevant individuals or organizations to review the evidence and decide whether to admit the candidate or defer the admission result for the candidate to enroll later.

4. Candidates who have confirmed their enrollment at one educational institution are not allowed to engage in admissions at other places or in additional admission rounds, except when permitted by the educational institution.

From this, it can be inferred that the university enrollment process will follow these steps:

- Step 1: Online enrollment confirmation

- Step 2: Follow the necessary procedures for candidates upon enrollment and the method of enrollment stated in the admission notice

- Step 3: Prepare all required paper documents to submit the enrollment profile

It can be seen that the university enrollment profile is one of the first important steps in the enrollment process, so students need to prepare according to the notification of each university. (When announced as admitted, the university will send an admission notice along with the necessary documents for the candidate to prepare).

Possible required documents in the student profile for university admission:

- Original admission notice;

- Student résumé;

- Temporary Certificate of High School Graduation for 2023 graduates or the High School Diploma (original and notarized copy) for graduates before 2023;

- High School Transcript (notarized copy and original for verification);

- Citizen Identification Card (notarized copy);

- Youth Union membership card;

- Copy of Birth Certificate;

- Health check certificate;

- 3×4 photos (prepare a minimum of 5 photos);

- Profile and Certificate of preferential treatment;

- Prepare tuition fees as per the notification from the school;

- Notarized copies of documents confirming priority status (if any);

- Military service registration certificate and confirmation of temporary absence issued by the Military Command for males (copy).

Candidates need to prepare all the above documents to complete the enrollment procedures.

*Note: Candidates should additionally prepare tuition and living expenses according to the amount the school has announced when completing enrollment procedures.

Based on the above documents, you can refer to the following way of filling out the student profile:

PAGE 1: COVER - STUDENT RÉSUMÉ

- Full name: Write in uppercase with diacritics

- Date of birth: Write your date of birth

- Permanent address: Address on the household registry (or if the student moved from the province, use the address on the citizen identification card)

- Family contacts and emergency contact information

- Contact phone number: Write the phone number of a parent or yourself

PAGE 2: STUDENT DETAILS

- Student attaches a 4x6 photo (recent photo not older than 3 months) in the top left corner, and the local authority stamps over the photo.

- Full name: Write in uppercase with diacritics

- Date of birth: Write your date of birth

- Gender: Specify Male/Female

- Ethnicity: Clearly state your ethnicity

- Religion: Specify your religion, if none, write "none", do not leave it blank

- Permanent address: Accurately write your permanent address. Include house number, village, commune (ward), district (town), province (city)

- Final year results in High School: This section records the academic results of the 12th year of the student. The student must clearly state their academic performance and conduct rating.

- Date of admission to the Ho Chi Minh Communist Youth Union: Write as per your Youth Union Card

- Date of admission to the Communist Party of Vietnam: Write as per your Party Membership Book, if none, leave it blank

- Year of graduation: Year of high school graduation

- Field of study: The major you have been admitted to

- Student ID number: As per the Enrollment Notice

- Summary of your learning, work, and labor history: Clearly write the timeline from primary school, secondary school, to high school

Example: For students born in 2003

From 2009 – 2014, a student at... school

From 2014 – 2018, a student at... school

From 2018 – 2021, a student at... school

PAGE 3: FAMILY BACKGROUND

- Father/Mother/Guardian: Student fills in full names, nationality, ethnicity, religion, permanent address, citizen identification card number, occupation, and contact phone number

- Spouse: If married, fill in full details, if not, skip

- Siblings: Clearly state the full names of brothers, sisters, including what they do and where they are, if none, skip

PAGE 4: CONFIRMATION

- Family's declaration on student’s statement: Student needs a signature from a parent (father or mother or guardian) for confirmation

- Student signs at the bottom right

- After filling in all the details, the student needs to go to their local commune or ward office to confirm the information, sign, and stamp.
